Managing System Access (IdM)
The Identity Management (IdM) tool provides access to what you need to get your job done.
IdM allows you to request and manage access to systems, mailboxes, network folders/files, and applications such as SAP – for yourself, staff, and contractors.
Step-by-Step Guide
Request New Access
Use this feature to setup a request access to a system, application, mailbox, or network drive:
- Select Request New Access
- Use the Guide Me feature to help you narrow down your search
- Click the drop down to see the options:
- File Share, SAP BI, SAP PRD, SAP HR, and Portal access
- Type keywords to describe the access you are looking for
- Review all available matches IdM brings up based on your search
- Click on Add to Req to select the role to submit for approval
- Click Submit for Approval; enter a valid business reason
- Click Submit Request
Setup a Contractor Account
Use this feature to setup a new contractor(s) needing access to certain applications:
- Click Setup a Contractor Account
- Select New Contractor
- Enter requested information
- Review and acknowledge the Electronic Communications Policy
- Click Submit Request
Use this feature to setup returning contractor(s) needing access to certain applications:
- Click Setup a Contractor Account
- Select Returning Contractor or Employee
- Enter name in the Search Terms box and click Search
- Verify information on the top of the screen
- Enter data for required fields
- Review and acknowledge the Electronic Communications Policy
- Click Submit Request
Manage Your Contractor(s)
Use this feature to extend expiration dates or terminate accounts immediately:
- Go to My Team and select the contractor
- Select Actions – Modify Contractor
- Select Options to change expiration date, terminate the account, or assign to another manager
Manage My Account(s)
Use this feature to view account settings, move roles, or manage roles access for yourself or your employees:
- Click Manage My Accounts
- Click Actions button to request access for yourself, your direct reports, or contractors
Model After Feature
Use this feature to model a user’s access after an existing user:
- Enter name of user you wish to request access for in Add Users to Request
- Select the user and remove yourself (unless you also need access)
- Enter the name of the user you want to model after
- Keep in mind that all roles the user has assigned will be available
- Select roles that are required
- Click Submit for Approval
