When your employee submits his/her resignation notice or notifies you of their intent to retire, there are steps you need to take to prepare for their departure and re-staff the position if needed.

Things To Do

1

Notify local HR by sending a notice of resignation/retirement.

  • HR will coordinate the Exit Interview
    • During the meeting, the HR Representative asks questions related to comments made on the Exit Interview Questionnaire, particularly around any high or low ratings and documented responses
    • HR reviews the Separation Checklist and goes over appropriate information (e.g. Cobra, last paycheck, timesheet, credit cards)
    • All company belongings (e.g. badge, uniforms, keys, and laptops) are collected
  • For retirees, HR requests retirement binders
  • Talk with HR about the need to backfill the position; (proper approvals will be required in order to re-staff positions); HR will begin the recruiting process if needed
2

Submit all outstanding timesheets and ensure the employee has accounted for all time taken (vacation, sick time, etc.).

3

Request all outstanding expense reports be submitted.

4

Change the phone message, remove the nameplate, and destroy any business cards (if applicable).

5

Send the employee’s personnel file to HR (if applicable).

ALSO CONSIDER

  • If you need access to the employee’s emails, files, or folders, submit a request through IdM.
  • If the employee needs assistance removing the Valero profile from his/her phone, instruct him/her to contact the Mobile Communications Administrator at 210.345.3365.
